VIO OS is a service operated by NUVEME LLC. This policy explains how VIO OS handles information for businesses using the front-office operating layer and for customers who interact with those businesses through VIO OS-powered workflows.
Information We Collect
We collect information needed to provide VIO OS, including business profile details, owner and team contact details, customer contact details, service requests, messages, calls, emails, scheduling information, quotes, payments, dispatch activity, connected-account status, support requests, usage events, and operational history.
Customer and Business Data
Businesses use VIO OS to operate their front office. That means VIO OS may process information about a business's customers on behalf of that business, including names, phone numbers, email addresses, addresses, service needs, appointment history, quote/payment status, and communication history.
How We Use Information
We use information to provide intake, scheduling, quoting, dispatch, reminders, payment follow-up, customer communication, connected-account workflows, account support, security, abuse prevention, reliability monitoring, service improvement, and legally required records.
AI Processing
VIO OS may use AI systems to draft messages, summarize conversations, recommend next actions, support quote and scheduling workflows, and help owners review operational decisions. AI processing is used only to provide or improve user-facing VIO OS features for the connected business. VIO OS does not use business, customer, QuickBooks, or Google Workspace data to create, train, or improve generalized or foundation AI/ML models, cross-customer models, or cross-tenant learning systems.
SMS and Mobile Consent
When a business owner, team member, or customer provides a mobile number and consents to receive text messages, VIO OS may send account, scheduling, service, payment, reminder, or support messages. Message frequency varies. Message and data rates may apply. Reply STOP to opt out and HELP for help. We do not share, sell, or otherwise provide your mobile phone number or messaging consent information to any third parties or affiliates for marketing or promotional purposes.
Opt-Out Choices
Recipients may opt out of SMS by replying STOP. After opt-out, VIO OS will stop non-required text messages to that number unless the recipient opts back in or messages are legally permitted and operationally necessary. Businesses remain responsible for honoring customer communication preferences they collect outside VIO OS.
Connected Providers
When a business connects providers such as Google, Stripe, QuickBooks, Twilio, email services, calendar providers, or payment processors, VIO OS uses those permissions only for business-authorized workflows and related support, security, and audit purposes.
Google Workspace API Data and Limited Use
VIO OS accesses Google data only after a business chooses to connect a Google account. Calendar-list data lets the business select a booking calendar; free/busy data supports availability checks; and event data supports creating, verifying, rescheduling, and cancelling bookings. Gmail access in the launch workflow is limited to sending business-authorized messages. VIO OS does not read, search, download, modify, or delete Gmail content. The use and transfer to any other app of information received from Google Workspace APIs by VIO OS adheres to the Google API Services User Data Policy, including the Limited Use requirements. VIO OS does not sell Google user data or use, transfer, or permit any third party to use raw, aggregated, anonymized, or derived Google Workspace data to create, train, or improve generalized or foundation AI/ML models.
Google API Services User Data PolicyThird-Party AI Service Providers
VIO OS uses the OpenAI API for customer-facing language generation and Twilio ConversationRelay for live voice processing. ConversationRelay uses speech providers, including Deepgram for speech-to-text and ElevenLabs for text-to-speech. These providers receive only the minimum data needed to provide the requested user-facing feature. VIO OS requires applicable provider terms and settings that do not permit Google Workspace data to train generalized or foundation models. VIO OS's separate ElevenLabs subscription for internal media production is not connected to the VIO OS application and does not receive Google Workspace API data.
Business-Controlled Customer Data
Businesses are responsible for the customer information, consent records, service details, pricing, addresses, and communications they enter, connect, approve, or authorize through VIO OS. VIO OS processes that information to operate the business's workflows and does not sell customer data.
Sharing and Service Providers
We do not sell personal information. Service providers may process information only as needed to deliver, secure, or support the VIO OS service, or when required by law. Mobile phone numbers, SMS opt-in data, and messaging consent are not shared, sold, rented, or otherwise provided to third parties or affiliates for their own marketing or promotional purposes. Communications providers may process mobile information only to deliver the text messaging service requested by the recipient or the connected business; they may not use that information for their own marketing or promotional purposes.
Security
We use access controls, server-side secret handling, provider authorization boundaries, logging, operational review paths, and administrative safeguards designed to protect business and customer information. No internet-connected service can be guaranteed perfectly secure.
Retention
We retain operational records for as long as needed to provide the service, preserve business history, support audits, resolve disputes, comply with legal obligations, prevent abuse, and improve reliability. Businesses may request deletion or export where available and legally permitted.
Connected Account Disconnection
A business may disconnect supported provider accounts through VIO OS or the provider's own account controls. After disconnection, VIO OS stops using that connection for new provider actions, while retaining records needed for security, audit, billing, dispute, legal, or operational history.
